Terms and conditions
The agreement between RentenAI and the businesses that use it: what the service does, what it costs, and who is responsible for what.
Last updated 12 September 2026
Who these terms are between
These terms are an agreement between RentenAI, registered in Estonia under company number ********** ("we", "us"), and the business or individual who opens an account ("you"). They govern your use of RentenAI.
By opening an account you accept them. If you accept on behalf of a company, you confirm you are authorised to bind it.
The platform is a business tool. It is not offered to consumers, and consumer cancellation rights do not apply.
What the service does
RentenAI is an assistant that takes part in conversations with your tenants, property owners and contractors over WhatsApp, Telegram and email, together with a web application in which you configure and supervise it.
It answers routine questions from information you provide, records meter readings and absences, prepares bills, proposes maintenance work and coordinates with contractors, and drafts documents and messages for you.
It acts on your behalf, under settings you control. It does not replace your judgement, and it is not a letting agent, a bookkeeper, or a provider of legal, tax or financial advice.
Your account
You sign in with a phone number and a one-time code. You are responsible for keeping access to that number secure, and for everything done through your account, including by people you invite to it.
You must give accurate account information and keep it current. You must be entitled to manage the properties you add, and to communicate with the people you add.
The trial
New accounts get 30 days of full access at no charge, with no payment details required. Nothing is restricted during the trial.
At the end of it we will contact you to agree whether the account continues and on what basis. We do not begin charging automatically, and we do not switch the service off automatically.
Fees
Pricing has two parts: a monthly fee per occupied room, and a flat monthly fee for the assistant. The per-room rate falls as the portfolio grows.
- Up to 15 rooms: €3.50 per occupied room per month, plus €25 per month.
- 16 to 50 rooms: €3.00 per occupied room per month, plus €45 per month.
- 51 to 100 rooms: €2.50 per occupied room per month, plus €65 per month.
- Above 100 rooms: by agreement.
A room counts only where a live tenancy exists for it at the close of the period. Vacant rooms are not charged. The tier is recalculated from occupancy each month; you do not choose it, and we will tell you when it moves.
All amounts exclude VAT and any other tax, which is added where due.
What you are responsible for
This section matters more than any other, because the platform communicates with people who have no relationship with us.
- You are the controller of your tenants', owners' and contractors' personal data. You decide what is recorded about them and why.
- You must have a lawful basis for us to contact them on your behalf, and you must tell them that an automated assistant is used to manage their tenancy and that their messages are processed by it.
- You must not add people to the platform in order to market to them.
- You are responsible for the accuracy of what you configure: house rules, rents, deposits, utility rates, contract templates. The assistant answers from what you give it, so wrong information produces wrong answers and wrong bills.
- You are responsible for reviewing what the assistant proposes before approving it, and for the settings that let it act without asking.
Automation and approval
For each type of action you choose whether the assistant must ask you first, may act on its own, or may act on its own below an amount you set. Some of those actions commit money, such as instructing a contractor.
Where you configure an action to be taken without approval, it is taken on your authority and you are responsible for it, exactly as if you had approved it individually. We recommend leaving anything that spends money or changes a tenancy set to require approval.
The assistant works from language, which is imprecise, and it can misread a message or a document. Automated output is not reviewed by a person before it is sent unless you have configured it that way.
Messaging channels
The assistant reaches people through WhatsApp, Telegram and email, operated by third parties on their own terms. We do not control them and are not responsible if they fail, change their rules, rate-limit, or suspend a number or a bot.
WhatsApp restricts business messages outside a 24-hour window following the recipient's last message, and messages sent outside it must use templates approved in advance by Meta. Some messages may therefore be delayed, or not delivered at all.
You must comply with the rules of any channel you use, including WhatsApp's business messaging policy.
Acceptable use
You must not use the platform to send unsolicited marketing, to harass or mislead anyone, to break the law or infringe anyone's rights, to reach an account or data you are not entitled to, to disrupt or probe the service's infrastructure, or to resell access without our written agreement.
You must not present the assistant as a human being to someone who asks whether they are speaking to one.
Your content and our platform
You keep all rights in the information you put into the platform, and in what the assistant produces for you from it. You grant us only the permission needed to run the service for you, including transmitting content to the providers named in our privacy notice.
We keep all rights in the platform itself. These terms give you a limited, non-exclusive, non-transferable right to use it while your account is open, and nothing more.
We do not use your content, or your tenants' messages, to train artificial intelligence models, and our agreements with our AI providers prohibit them from doing so.
You may export your data and ask for your account to be closed at any time. Message content is deleted automatically after 180 days on every account.
Availability
We aim to keep the service available and working, but we do not promise it will be uninterrupted or error-free, and we give no service level commitment. It depends on third-party providers, and parts of it stop when they do.
The service is provided as it is. To the fullest extent the law allows, we exclude warranties not written into these terms, including any implied warranty of merchantability or fitness for a particular purpose.
Limits on liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, we are not liable for loss of profit, business or goodwill, or for any indirect or consequential loss, and our total liability in connection with these terms in any twelve-month period is limited to the fees you paid us in that period.
In particular, we are not liable for a decision you took on the basis of something the assistant produced, for a message it sent under settings you chose, or for a bill calculated from information you configured.
Suspension and ending the agreement
You may close your account at any time from the web application. Closing it revokes sign-in for everyone on the account and disconnects the messaging channel, so the assistant stops sending and receiving immediately.
We may suspend or close an account that breaches these terms, that puts the service or other customers at risk, or whose fees remain unpaid after we have asked. Where it is reasonable to do so we will warn you first and give you a chance to put it right.
Changes
We develop the platform continuously and its features will change. We will not remove something you depend on without telling you.
We may change these terms. Where a change materially affects you we will give reasonable notice before it takes effect, and continuing to use the service after that date means you accept it.
Law and disputes
Before starting proceedings, both sides agree to try in good faith to resolve the matter by talking to each other.
